When you seek advice and or services from us, we use your information to perform our services in relation to your enquiry, for example to provide you with specific advice to your project’s needs.

We will need to contact you by post, email and/or telephone for administrative or operational reasons, for example in order to inform you about any appointments or access arrangements, in relation to your project.

Please be aware that these communications are not made for marketing purposes and as such, you will continue to receive them even if you opt-out from receiving marketing communications.

We will also use your personal data if we contact you after you have sent us a request, filled in a web-form through our website or contacted us on social media.

We will use the communications you exchange with us in order to manage our relationship with you as our customer and to improve our services and experiences for customers.

To inform you about our news and offers that you may like

We may send you marketing communications, if you have indicated that you are happy to receive these, for example when you sign up to our mailing list on our website or explicitly agree to receive such communication at the start of the contract (via our client contact form).

If you are happy to receive marketing communications, we will provide you with our news and updates that may be of interest.

If you do not want to receive marketing communications from us, you can simply tell us so by clicking the relevant box on the client contact form. You can also choose to opt out from receiving marketing communications at any time, by clicking on the relevant unsubscribe link at the bottom of any marketing related email you may receive from us. The business purposes for which we will use your information include accounting, invoicing, credit or other payment card verification, fraud screening, security and legal purposes.

To comply with our legal obligations


We are committed to keeping your personal data safe and secure. Our technical and physical security measures include: -

encryption of data;

regular cyber security assessments of all service providers who may handle your personal data;

security controls which protect the entire IT infrastructure from external attack and unauthorised access, including firewalls and virus checking procedures;

internal policies setting out our data security approach and training for employees;

Personal Data files kept on local devices are protected and accessible only to authorised BHD employees.


We will retain your data for as long as you remain:

a registered subscriber to our mailing list;

for as long as is necessary to provide our services to you;

following the completion of your project, we are required to keep the project details for 6 years or 12 years (for all contract administration projects), in accordance with the RIBA’s regulations.

We may need to provide external consultants or companies with your information in order to produce necessary surveys, reports and services in relation to your project. We will only provide them with the information they require and will only permit them to use the information for the required purpose only.

If any company uses your information for any other reason without your consent, please notify us using the details below and we will investigate the matter.

We do not share or transfer personal data to countries outside the EU.


As part of the registration process for our mailing list, we collect personal information. We use that information for a couple of reasons: to contact you if we need to obtain or provide additional information and to check our records are correct. We don't rent or trade email lists with other organisations and businesses.

We use a third-party provider, MailChimp, to deliver our newsletter. Website usage information is collected by using Cookies.


Cookies are text files placed on your computer to collect standard internet log information and visitor behaviour information. When someone visits we use a third party service, Google Analytics, to collect standard internet log information and details of visitors’ behaviour patterns. We do this to find out things such as the number of visitors to various parts of the site. This information is only processed in a way which does not identify anyone. We do not make and do not allow Google to make, any attempt to find out the identities of those visiting our website. If we do want to collect personally identifiable information through our website, we will be upfront about this. We will make it clear when we collect personal information and explain what we intend to do with it.
